Approver

As an CoE cockpit approver, you can review an automation idea, ask for more information about the idea, approve or reject an idea. To access CoE cockpit as an approver you should have the role of an CoE Cockpit Approver enabled and have approve access for your Login.

 

To access Approver Dashboard:

  1. In the Admin module click Picture 27 (CoE Cockpit).

The Approver Dashboard page is displayed. The dashboard has quick insights section that displays relevant information for the past one year. Also, sections pertaining to All Ideas and Ideas Assigned.

 

Quick Insights

The Quick Insights have the following information displayed for the past one year:

Total Contributors

Total contributors is the count of total number of ideatore and approvers logged in and interacted in the CoE Cockpit.

Total Ideas is the count of total number of ideas submitted in the last month.

Total Ideas sent for Automation

Total Ideas sent for Automation is the count of total number of ideas that are reviewed, approved, and sent for automation.

Along with the information, there are graphs present in the approvers dashboard and the graph displays related data for the past one year:

 

Total Ideas Graph: This graph has a view of details of the status of all the ideas in the portal. For information on the statuses of an idea refer, Idea Status

Idea Priorities: This graph shows the number of ideas as per the defined priority by the ideators.

Idea Transactions: This graph represents the number of ideas submitted in the particular month in past 12 months.

All Ideas

The All Ideas section is displayed by default in the Approvers Dashboard page. Besides the label of all ideas, the count of all the ideas is displayed. However, it displays the latest 12 ideas on the page. Pagination is provided to toggle between the pages.

 

Once an ideator submits an idea, it is displayed in all ideas section.

Each idea in the section will have the following details:

  • Idea number: Once the idea is submitted this is auto generated with the details IDN<mm ><dd>< yy><idea count for the day>. For ex: IDN0512238.
  • Date and Time: Displays the date and the time when the idea was submitted.
  • NAME: Displays the Unique ID name of the ideator who submitted the idea.
  • DEPARTMENT: Displays the department of the process. The ideator selects the department when submitting an idea.
  • Idea name: Displays the idea name provided by the ideator who has submitted the idea. The first 20 characters are displayed, for more information click on the respective idea card.  
  • Idea description: Displays the description that is added while creating the idea is displayed here. The first 100 characters from the description is displayed, for more information click on the respective idea card.
  • ASSIGNED TO: Displays the name of the approver the idea is assigned to. If the idea status is Submitted (not assigned to any approver), then Assigned To field displays Unassigned. 
  • Like Button and its count: Displays count of likes on an idea, as an ideator or approver you can like or unlike the idea, and the count of the like increases or decreases accordingly. 
  • Idea Status: Displays the current status of the Idea.

An approver can click on the submitted idea and view all the details and attachments the ideator has provided. The approver can view the details of the idea submitted and click on Assign To Me button and review the details and proceed.

Once an approver self-assigns the idea the status changes to in-review, approver can change the status of the idea to any of the following:

  • Approved
  • Rejected
  • Duplicate
  • In-Revision

    It is mandatory for an Approver to add comments when changing the status of an idea. The minimum characters allowed is 2 and maximum 25 characters.

 

NOTE:          

An approver can move the idea to In Revision any number of times and the Ideator has to provide the requested details.

 

 

The below table shows the workflow of an idea status:

NOTE:          

If AssistEdge Discover is integrated then the idea is moved to Discover portal directly when the approver clicks Send to Discover. You can move the idea directly to Discover only when the status of the idea is In Discovery and the Discover url is active in discover connection settings. For Information on Discover connection settings, see Discover Connection Settings in Administrator Guide.

Ideas Assigned

The Ideas Assigned section displays the ideas assigned to the logged in approver. Besides the label of ideas assigned, the count of all assigned ideas is displayed. However, it displays the latest 12 ideas assigned to the logged in approver on the page. Pagination is provided to toggle between the pages.
